Start with the records that control real activity

A documentation review is not just a formatting exercise. Start with the records that describe what the organisation actually does and how environmental controls are applied.

  • Document or record What to check Why it matters
  • Environmental Aspects Register Activities, lifecycle stage, aspects, impacts, controls, obligations, scoring, significance and actions This is the central link between operations, impacts and controls
  • Environmental Context sheet Pollution, resource availability, climate change, biodiversity and ecosystem health; value-chain review This helps connect context and value-chain thinking to real EMS controls
  • Compliance obligations register and evaluation Applicable obligations, evaluation evidence and action status It supports legal and other compliance tracking
  • Environmental objectives Objectives linked to significant aspects, risks or improvement needs It helps show the EMS is driving measurable improvement
  • Internal audit checklist and audit programme Planned audits, findings and follow-up It verifies whether the EMS is being checked
  • Corrective action form and register Nonconformities, root causes, actions, owners and status It shows how problems are investigated and closed
  • Management Review Minutes form Review inputs, decisions, actions and approval It shows top management has reviewed EMS performance and needs

Real document preview: Environmental Aspects Register

The Environmental Aspects Register in the ISO 14001 pack is EMS-LOG-08. In the Combined IMS pack it is IMS-LOG-08. It is an Excel file, included in the paid packs only, and its header states Applicable requirements: ISO 14001:2026.

The file has three sheets: Aspects Register, Environmental Context and Scoring Guide. The Aspects Register instruction tells users to consider normal, abnormal and emergency conditions and a lifecycle perspective.

  • Sheet Verified contents
  • Aspects Register Aspect ID, Process / Activity, Lifecycle Stage, Environmental Aspect, Source / Condition, Potential Environmental Impact, Operating Condition, Existing Controls, Compliance Obligation, Severity (1-5), Likelihood (1-5), Score, Significant?, Additional Action Required, Action Owner, Target Date, Related Objective, Status, Last Review Date, Next Review Date, Notes / Evidence
  • Environmental Context Context review covering pollution, resource availability, climate change, biodiversity and ecosystem health; value-chain review beginning with upstream/procurement and operations
  • Scoring Guide Severity ratings from 1 Negligible to 5 Critical; Score 8-25 treated as Significant; Score 1-7 treated as Not significant

The Score auto-calculates Severity x Likelihood. The Significant? field is automatically Yes when the score is 8 or more. That helps users apply the same scoring logic consistently across activities.

Review step 1: check whether activities are complete

Walk through your main processes before editing wording. For each department or activity, ask:

  • Is the process or activity listed?
  • Is the lifecycle stage clear?
  • Have normal, abnormal and emergency conditions been considered?
  • Is the environmental aspect written as something the business does or controls?
  • Is the potential environmental impact clear enough for a non-specialist to understand?

If an SME only lists obvious waste streams, it may miss upstream procurement, contractor activity, transport, maintenance, cleaning, energy use or emergency conditions. The aim is not to create a huge register. The aim is to make sure the register reflects how the business operates.

Review step 2: test controls and obligations

Next, look at Existing Controls and Compliance Obligation. A control should be something real: a procedure, inspection, segregation method, bunding check, contractor rule, maintenance activity, training requirement, monitoring record or purchasing requirement.

For compliance obligations, avoid vague notes such as “legal requirements apply”. If an obligation is relevant, it should be traceable to your compliance obligations register and evaluation. If the obligation is not applicable, the register should not imply that it is.

Review step 3: check scoring and significant aspects

The Environmental Aspects Register uses Severity (1-5), Likelihood (1-5), Score and Significant?. Because the score auto-calculates, the review should focus on whether the selected severity and likelihood are reasonable.

Use the scoring guide consistently:

  • Severity 1 is Negligible.
  • Severity 2 is Minor.
  • Severity 3 is Moderate.
  • Severity 4 is Major.
  • Severity 5 is Critical.
  • Score 8-25 is Significant and should have document control and improvement action considered, with review at least annually and after change.
  • Score 1-7 is Not significant and should maintain controls and monitoring, with review at least annually.

Where a row is significant, check whether Additional Action Required, Action Owner, Target Date, Related Objective and Status are completed where needed. A significant aspect with no owner or evidence can create weak EMS follow-through.

Review step 4: connect the register to audits and management review

An Environmental Aspects Register becomes stronger when it connects to other EMS records. Internal audits should test whether controls are operating. Corrective actions should capture failures or gaps. Management review should consider environmental aspects and compliance, emergency preparedness and communications.

The AuditReady Templates ISO 14001 Management Review Minutes form, EMS-FRM-05, is included in the free sample. It includes Meeting Details, Required Inputs, Actions and Outputs, Closure and document control. It also adds Environmental aspects and compliance, plus Emergency preparedness and communications. You can download the free Management Review Minutes sample to see how review evidence can be recorded.

Templates and guides that help

The ISO 14001 pack is the relevant pack where the business needs EMS documentation written for ISO 14001:2026. The Environmental Aspects Register is not in the free sample; it is included in the paid ISO 14001 and Combined IMS packs. For a fuller environmental documentation review, the environmental aspects register example entries show how fields can be completed without overcomplicating the record.

If quality and environmental systems are being managed together, the Combined IMS Pack includes integrated management system templates, including the IMS version of the Environmental Aspects Register and management review records.

Common mistakes to avoid

  • Reviewing documents only for branding and formatting, not operational accuracy.
  • Leaving controls vague, such as “staff awareness” with no evidence.
  • Listing obligations without evaluating whether they are met.
  • Scoring significant aspects but not assigning actions or owners.
  • Updating the aspects register without updating audit focus, objectives or management review inputs.
  • Claiming certification outcomes are guaranteed because a template has been completed.
