Privacy Policy

This policy explains what personal data AuditReady Templates (“we”, “us”) collects when you use this site, why we collect it, and how you can contact us about it. It applies to auditreadytemplates.com and the AI Assistant feature.

Information we collect

We collect the following, only when you provide it or generate it by using the site:

• Email address — when you download a free sample or a gap analysis action plan, buy a pack, or subscribe to the AI Assistant.
• Order details — the pack purchased, amount paid and currency, recorded against your email.
• Payment details — handled entirely by our payment processor, Stripe. We never see or store your card details.
• AI Assistant messages — if you use the chat feature, the questions you ask and the assistant’s replies are stored against your email so you can see your conversation history, and are sent to our AI providers to generate a response.
• Sign-in sessions — a cookie that keeps you signed in to the AI Assistant. See “Cookies” below.
• Gap analysis tool answers — we don’t collect these. The ISO 9001 gap analysis tool runs entirely in your browser: your answers and score are never sent to us. They’re saved in your browser’s local storage on your own device so you can pick up where you left off, and you can remove them with the tool’s Start again button. If you share a result, the answers are carried inside the link you share, in the part of the address that browsers don’t send to websites. If you ask for the PDF action plan, only your email address is sent to us; the PDF itself is created on your device.
• Website usage statistics — which pages are viewed, the site that referred you, your browser, device type and country. We collect this with Umami, a privacy-focused analytics tool that doesn’t use cookies, doesn’t store your IP address and doesn’t track you across other websites. We only ever see it as aggregated totals, never linked to your email or to you personally.

How we use it

• To deliver the pack you purchased and email your download link.
• To provide the AI Assistant to active subscribers, scoped to the pack(s) you own.
• To send order confirmations and, if you haven’t added the AI Assistant, a follow-up email letting you know it’s available.
• To operate passwordless sign-in for the AI Assistant.
• To prevent abuse of free downloads, sign-in requests and the AI Assistant’s daily usage limit.
• To understand, in aggregate, which pages and articles people find useful, so we can improve the site.

We do not sell your personal data, and we do not use it for advertising or profiling.

Who we share it with

We use the following processors to run the site. Each only receives the data it needs to perform its function for us:

• Stripe — payment processing and billing for the AI Assistant subscription.
• Supabase — database hosting for orders, entitlements and chat history.
• Resend — delivery of order, sign-in and follow-up emails.
• OpenAI — generates the AI Assistant’s replies to your messages.
• Voyage AI — processes your AI Assistant messages to find the relevant parts of your pack’s templates.
• Vercel — hosts the website and its server functions.
• Umami — cookieless website analytics, used to count page views.

Some of these providers are based outside the European Economic Area (for example, in the United States) and process data there under their own applicable safeguards.

Cookies

We use two cookies, both strictly necessary and neither used for tracking or advertising:

• Sign-in session — set only if you sign in to the AI Assistant, and keeps you signed in for up to 30 days.
• Currency preference — remembers whether you want prices in euro, pound sterling or US dollar, for up to a year. It is set to a suggested currency based on the country your visit appears to come from, and is updated when you use the currency selector. It holds only the three-letter currency code and doesn’t identify you.

We don’t use analytics or marketing cookies: our website analytics (Umami) works without setting any cookies at all. Our payment processor, Stripe, may set its own cookies while you’re on its checkout page, under its own privacy policy.

How long we keep it

We keep order, entitlement and chat data for as long as reasonably necessary to provide the pack and AI Assistant you’ve paid for, to meet our accounting and tax obligations, and to resolve any support queries. If you’d like your data deleted sooner, contact us and we’ll action it unless we’re required to keep it for legal reasons.

Your rights

Under GDPR, you can ask us to access, correct, delete or export your personal data, or object to how we use it. To do so, email hello@auditreadytemplates.com.

Children

This site is intended for business use and is not directed at children.

Changes to this policy

We may update this policy from time to time. We’ll change the “last updated” date above when we do.
